Online Booking for Irish Salons with WhatsApp Reminders
Online booking systems for salons in Ireland with WhatsApp reminders from your own number: the three routes compared, the reminder sequence, deposits, and moving off marketplaces.

An online booking system for a salon in Ireland with WhatsApp reminders lets clients book on your own website or booking page, then sends the confirmation and reminders from your salon’s own WhatsApp number — so clients can reply, reschedule and rebook in the same thread. It replaces marketplace commissions and Instagram DM booking with a system you own; the main routes are a marketplace app, salon software, or your own website with WhatsApp built in.
If your diary currently lives in three places — a booking app, your Instagram DMs and your own memory — this page lays out the options honestly, including the one where you stop renting your own clients back from a marketplace. The clinic version of this setup — same channel, different appointment types and compliance — is in our guide to WhatsApp booking for Irish clinics.

Your three routes, compared
Every Irish salon ends up on one of these. The differences that matter are who owns the client list, what you pay per booking, and whose number the reminders come from.
| Marketplace app (e.g. Fresha, Booksy) | Salon software (e.g. Phorest-style monthly software) | Your own website + WhatsApp | |
|---|---|---|---|
| How clients book | Inside their app | Your booking link / their page | Your own website |
| Cost shape | Free or cheap to start, commission on marketplace clients | Monthly subscription, usually per location | One-off build + small running costs |
| Who owns the client list | The marketplace, largely | You, inside their system | You, full stop |
| Reminders from your own WhatsApp number | No | Generally no | Yes |
| Clients reply in WhatsApp | No | Rarely | Yes — replies land in your WhatsApp |
The comparison that ranks for this exact query — published by Happoin, itself a WhatsApp-first booking product — makes the same central point from the vendor side: in its table, no marketplace or mainstream software option sends reminders from your own WhatsApp number, and marketplace routes charge commission on the clients they bring you (Happoin’s comparison, October 2026). Where we differ from every row of that table: Happoin still sells you rented software. The third route above is the one no software vendor can offer — a booking page on your own website, with WhatsApp built around it, set up for you.
This is the same owned-system model as our WhatsApp booking system for clinics in Dubai — Ireland’s version runs on euros, Irish salons and the app your clients already message their friends on.
Why reminders must come from your number
This sounds like a detail. It decides whether your reminders work.
A reminder from an unknown platform number reads like a notification — easy to ignore, impossible to answer usefully. A reminder from your salon’s number lands in the same WhatsApp thread where the client already chats with you. Three things follow:
- Clients actually reply. “Running 10 mins late” or “can I move to Saturday?” goes in the thread — not a phone call you miss, not a no-show you discover at the appointment time.
- Replies reach a human fast. They arrive in your WhatsApp, the app that’s already open on the salon phone all day — not in a software dashboard nobody logs into between clients.
- The thread becomes the relationship. Confirmation, reminder, the after-appointment thank-you, the rebooking nudge six weeks later — one continuous conversation with your salon, not a series of cold texts from a system.
When a client changes their number or replies STOP, that happens in your thread too, where you can see it and handle it like a person.
The reminder sequence that fills the chair
The sequence matters more than the software. Here is the one we build, in full — copy the timings even if you never buy anything:
- Instant confirmation the moment they book: service, stylist, date, time, and what to do if plans change.
- 48 hours before: the main reminder, with a reschedule link inside it. A client who moves their appointment two days out gives you a slot you can refill. A client who just doesn’t show gives you nothing.
- Morning of: short and friendly — time, stylist, see you soon. This is the one that catches the “I completely forgot” no-shows.
- After the appointment: a thank-you, then a review request while the hair is still fresh — and later, at the right interval for that service, a rebooking message: “Your colour is due around the week of the 12th — here are slots.”
Set beside it the DIY software norm: Boclar, a typical booking tool, advertises reminders at 48 hours and 1 hour before by email and SMS. Email gets read eventually; SMS gets read — but neither comes from your number, and neither carries the conversation. WhatsApp reminders from your number, with reschedule built in, are the step up.
The structure mirrors what we build for the UK in booking systems for UK salons with WhatsApp reminders — Irish salons get the same system, priced and written for here.

What one no-show actually costs you — your numbers, not a statistic
No honest Irish salon no-show statistic is published, so don’t let anyone sell you one. Do this arithmetic instead, with your own diary — it takes two minutes:
- Your average appointment value: €______
- No-shows and too-late cancellations last month: ______
- Multiply them. That’s last month’s leak: €______
Now the honest framing: reminders and deposits won’t recover all of it. Some clients will always vanish. But every element of the system on this page attacks a slice of it — the instant confirmation kills “I forgot I booked”, the 48-hour reminder with a reschedule link converts silent no-shows into refillable slots, the morning-of message catches the genuine forgetters, and the deposit covers you when none of that works. Even a third of that monthly figure, recovered, dwarfs the running cost of the messages that recovered it.
The exact messages — steal this set
Your reminder system, written out. Adapt the voice; keep the mechanics:
Confirmation (instant): “You’re booked, [Name] 💇 [Service] with [Stylist], [day, date] at [time]. Need to move it? Tap here anytime: [reschedule link].”
48 hours before: “Hi [Name], looking forward to [Service] on [day] at [time]. Still good? Reply YES — or move it here if plans changed: [reschedule link].”
Morning of: “Morning [Name]! See you at [time] today with [Stylist]. Running late? Just reply here.”
After the visit: “Thanks for coming in, [Name] — your hair is looking unreal. If you loved it, a Google review means the world: [review link].”
Rebooking (at the service’s natural interval): “Hi [Name], your [colour/roots] will be due around the week of [date]. Slots are open here: [booking link].”
Five messages, all from your salon’s number, all in one thread the client already trusts.
Deposits and no-show protection on WhatsApp bookings
Reminders cut forgetfulness. Deposits cut the rest.
- Take a deposit at booking for the appointments that hurt most — long colour services, Saturday slots, new clients. The booking page takes it; the confirmation message states the policy in plain words, so there are no surprises.
- State the cancellation window in the confirmation itself. “Free to move up to 24 hours before” inside the WhatsApp thread is worth more than the same sentence buried on a website — the client has actually read it.
- Make rescheduling easier than ghosting. Every reminder carries the reschedule link. Most no-shows aren’t malice; they’re a client who didn’t want an awkward phone call. Remove the phone call and you remove the no-show.
Point every door at your own booking page
A booking system only works if clients reach it. Three doors matter most, and all three can point at your own page instead of a marketplace:
- Google. Your Google Business Profile gets a booking link. Someone searching your salon’s name at 10pm should land on your diary, not a directory.
- Instagram. Your bio link is prime property. It should go to your booking page — where the appointment lands in your diary and the reminder sequence starts — not to a marketplace that takes commission on a client who found you.
- WhatsApp itself. Your number, shared everywhere, starts the same thread the reminders continue in. A client who has messaged you once is a client your system can remind, rebook and ask for a review, for years.
Salons often do this backwards for years: their best traffic (their own name, their own followers) flows into a rented platform, which then charges them for the privilege of the booking. Reversing the doors is free, takes an afternoon, and is worth doing even before you change anything else.
Moving over without losing your clients
The fear that keeps salons on marketplaces: “my clients are all in the app.” They aren’t — your clients are in your phone, your DMs and your chair. Migration is a sequence, not a leap:
- Your booking page goes live on your own website, with your full service menu and real availability.
- Your WhatsApp number starts sending from the new system — confirmations and reminders for every new booking, from day one.
- Announce it where clients actually look: a WhatsApp message to your regulars and an Instagram post — “Booking’s moved — same us, new link, and reminders now come from this number.”
- Update every link: Instagram bio, Google profile, Facebook page. The marketplace listing can wind down once your direct bookings are flowing; many salons keep a minimal presence during the changeover.
What you must check before leaving any platform: export your client list first, and know their cancellation terms. The wider playbook is in our Fresha alternative guide — the commission maths there is why salons start this move.
What it costs to run, in euros
Two parts again. The messages: Meta charges per delivered WhatsApp message on a published euro rate card, and reminder-type messages are the cheapest category — cents each. (We verify the current euro card before quoting a per-message figure; rates are revised periodically and stale numbers help nobody.) For scale: on the UK card effective 1 October 2026, reminder messages cost £0.0159 each — a salon’s monthly message bill is measured in the price of a few coffees, not a subscription.
The system: marketplace routes take commission on the clients they send you, indefinitely. Software routes charge monthly per location, indefinitely. Your own website + WhatsApp route is a one-off build plus the message costs above. When you compare a year of each — not the first month — the ownership route is the one that gets cheaper over time instead of dearer.
If you want that year-one comparison run on your salon’s real numbers — bookings, no-shows, what you’re paying in commission now — get a free audit and we’ll do the sums with you.
Keeping the software you already have?
Plenty of Irish salons run their diary in software they’re broadly fine with — the problem is only the client-facing layer: bookings trapped in an app, reminders from a stranger’s number, reviews never asked for. You don’t always need to rip the diary out. If your current software gives you a shareable booking link, the owned route can start there: your own website wraps around it, your WhatsApp number runs the confirmations, reminders, review asks and rebooking on top, and the diary stays where your team knows it.
That said, be honest about the ceiling. A layered setup still pays the software subscription, and the marketplace commission question doesn’t go away if new clients still arrive through an app. Most salons we talk to treat the layer as step one — stop the bleeding on reminders and no-shows now — and move the booking itself in-house once clients are used to the new flow. Either order works. What matters is that the client relationship — the number, the thread, the list — ends up yours, because every other improvement compounds on top of owning it.
The short version
Book on your own website. Remind from your own WhatsApp number, at 48 hours and on the morning, with rescheduling built into the message. Protect the big appointments with deposits. Move your clients once, properly, and stop paying commission on people who’d have booked you anyway.
FAQs
Can reminders really come from my salon’s own WhatsApp number?
Yes — that’s the defining feature of the owned-system route. Clients see your salon’s name and number, and their replies land in your WhatsApp. In vendor comparisons of salon booking software (Happoin’s, October 2026), reminders from your own number is exactly the feature marketplace apps and mainstream salon software don’t offer.
What’s wrong with booking through Instagram DMs?
Nothing at 11pm on a quiet Tuesday — everything at scale. DM bookings live in one person’s phone, have no diary sync, no deposits, no reminders and no record you own. The system on this page keeps the friendliness (clients still message you) and adds the machinery (real availability, confirmations, reminder sequence).
How much are WhatsApp messages in Ireland?
Meta charges per delivered message on a published euro rate card; appointment reminders are utility messages, the cheapest category, priced in cents. Rates are revised from time to time, so any figure should be checked against the current card — for scale, the equivalent UK utility rate is £0.0159 per message (card effective 1 October 2026).
Will I lose clients if I leave Fresha or Booksy?
Not if the move is sequenced: export your client list, launch your own booking page, announce the new link by WhatsApp and Instagram, and keep links updated everywhere clients find you. Your regulars follow you — the marketplace was renting you access to them, not the other way round.
Do deposits put clients off?
Small deposits on long or high-demand appointments are normal practice now, and clients read them as professionalism when the policy is stated plainly at booking. Keep deposits proportionate — they exist to make rescheduling a better option than ghosting, and every reminder carries the reschedule link so clients can use it.
I’m a one-chair salon. Is this overkill?
The sequence is the same; only the volume changes. A one-chair salon feels a single Saturday no-show more than a five-chair salon does — which is exactly when an automatic confirmation, a 48-hour reminder with a reschedule link, and a modest deposit earn their keep.
