Instagram DM Reply Loss Calculator for Salons

Instagram DM Reply Loss Calculator for Salons answers a question clinic owners ask in plain language: DMs are a booking channel, but they sit unread in message requests. The owner sees followers, not the enquiries that never got a reply. Use your own numbers below — no email, no signup, nothing is sent anywhere. The result runs in your browser.

An unread DM still looks like a follower. It does not look like a booking that went to another clinic.

The calculator

Run your own month

Use a month you can actually count. Nothing is pre-filled and no rate is invented. Blank fields stay blank until you fill them.

01 · Your inbox

Every conversation that arrived, including message requests.

The share that asks about a treatment, a time or a price.

02 · Reply speed

Of the enquiries, how many actually book when you reply as you do now.

Fill it from a week you replied quickly, or test it for two weeks. A blank is better than an invented rate.

03 · Money

What one booked appointment is worth, before your costs.

Changes the symbol only, never a rate.

Calculated in your browser. Nothing is sent to us.

Reading the number

How to read your result

The result is arithmetic on your own assumptions. It is not a forecast, and it is not a promise. Here is how to use it without fooling yourself.

Three habits: check the inputs, read the breakdown, and change one thing at a time.

01 · A habit

Check the inputs first

A result is only as honest as the numbers you put in — especially any rate you estimated. If you guessed the fast-reply rate, write “guess” next to it and treat the answer as a direction, not a fact.

02 · A habit

Look at the breakdown, not just the total

The breakdown shows where the loss or the opportunity actually sits. Sometimes the enquiry share is fine and the reply rate is the problem. Sometimes the volume is too low for a reply system to be the first fix.

03 · A habit

Test one change at a time

Change one input, note the new result, and you have a plan you can defend to a partner or a manager. Changing three at once tells you the number moved, not why.

The maths

How we calculate it

Every line below is visible in the result panel. Nothing is hidden inside a single impressive number, and no outside rate is applied to your clinic.

Formula 1 · Enquiries

Enquiries = DMs per month × booking-enquiry share

The booking-enquiry share is the percentage of DMs that actually ask about a treatment, a time or a price — not every like, emoji or “hi”.

Formula 2 · Bookings lost

Lost bookings = enquiries × (fast booking rate − current booking rate)

If your fast-reply rate is lower than your current rate, the tool shows zero lost bookings and tells you to check both rates. It does not turn a negative into a dramatic number.

Formula 3 · Revenue lost

Monthly loss = lost bookings × average ticket

Yearly loss = monthly loss × 12. Money is rounded to whole units in the headline; the exact calculation stays underneath. The currency changes the symbol only; it does not change any rate.

Worked example

Every assumption, in the open

Example only — not a real clinic's data and not a prediction for yours.

Worked example chart for the instagram dm reply loss calculator for salons: 200 DMs, 50% booking enquiries, $300 ticket
  1. 200 DMs × 50% booking enquiries = 100 enquiries a month.
  2. 100 × 5% at the current reply time = 5 bookings.
  3. 100 × 15% at a fast reply time = 15 bookings.
  4. 15 − 5 = 10 bookings lost a month.
  5. 10 × $300 average ticket = $3,000 lost a month, or $36,000 a year.

The 5% and 15% are example rates you replace with your own. Change one assumption and the answer changes — which is why the calculator asks for your numbers instead of filling in its own.

Context

What the evidence actually says

Published figures are context, not a target for your clinic. The calculator uses your own reply-time conversion rates, not a fixed rate.

Benchmark summaries put expected Instagram DM first response at 1–3 hours, while actual replies are often a day or more, and one 2026 benchmark summary reports 89% of customers now expect a reply in under one hour. Loopwise's own Peshawar test found 29 of 55 clinics never replied to an Instagram enquiry at all.

1–3 hours

Expected Instagram DM first response in benchmark summaries.

A day or more

A common actual reply time, against that expectation.

89%

Of customers now expect a reply in under one hour, per a 2026 benchmark summary.

29 of 55

Clinics that never replied to an Instagram enquiry at all, in Loopwise's Peshawar test.

Note on the evidence

Expectation figures come from benchmark summaries, not from one controlled study. The tool therefore uses your own reply-time conversion rates, not a fixed rate. A benchmark can tell you the question is worth asking; it cannot tell you the answer for your clinic.

What to do next

Turn the number into one change

A calculator is only useful if it changes what you do on Monday. These three steps keep the next decision small enough to actually make.

  1. 1

    Use last month's real numbers

Count the DMs you actually received, not the ones you remember. Check message requests, spam and filtered folders — that is where the unseen enquiries sit.

  2. 2

    Fix the biggest number first

If bookings lost is the largest line, the reply time is the first thing to change. If enquiries are barely there, the conversation or the offer needs attention before the inbox tooling does.

  3. 3

    Re-run it in one month

If the number did not move, the fix did not work — change the fix, not the tool. Same counting rule, same time window, one honest comparison.

Questions

Frequently asked questions

Plain answers, including the ones this calculator deliberately refuses to invent.

Why is my fast reply rate blank?

Because no honest tool can know it for your clinic. Fill it from a week when you replied quickly, or test it for two weeks and come back. A blank is better than an invented rate.

Do message requests count?

Yes — and that is the point. Check message requests, spam and filtered folders. Many clinics in Loopwise's own test were losing enquiries they had never seen.

Is this only for Instagram?

No. The same maths works for WhatsApp and Facebook Messenger. Use the channel where your booking enquiries actually arrive.
